Veza Agency Network (VAN) brings together a collective of specialized digital agencies, operating on a shared delivery and operating system to build scalable, high-quality digital products for our clients.
As we continue to scale across multiple agencies, teams, and delivery models, we’re looking for a Resource Manager who will own capacity planning, utilization, and resourcing clarity across the entire network.
This is a high-impact operational role. You’ll be responsible for turning real work into visible capacity, eliminating guesswork in staffing decisions, and ensuring leadership can plan growth based on data — not gut feel.

What You’ll Do
Resource Planning & Capacity Ownership
- Own day-to-day and forward-looking resource planning across all teams (Design, Development, PM, SEO, Marketing, etc.).
- Translate active project scopes into clear capacity demand.
- Ensure real work is accurately reflected in planning views — not just what “should” be happening.
- Identify over-utilization, under-utilization, and upcoming capacity gaps early.
- Act as the single source of truth for who is available, when, and at what capacity.
Utilization & Performance Metrics
- Own utilization, capacity, and workload metrics across VAN.
- Build and maintain dashboards that leadership can actually trust.
- Track trends over time — not just weekly snapshots.
- Surface risks early (burnout, bottlenecks, skill shortages).
- Partner with delivery and leadership teams to turn insights into action.
Hiring Forecasting & Growth Planning
Forecast future hiring needs based on pipeline, project velocity, and utilization trends.
- Support leadership in deciding when to hire, what roles to hire, and why.
- Help model different growth scenarios (new clients, agency acquisitions, service expansion).
- Partner with Talent / HR on timing and prioritization of hires.
Freelancers & Contractors Management
- Plan and manage resourcing across a blended team of full-time employees, contractors, and freelancers.
- Maintain visibility into contractor availability, cost, and performance.
- Help standardize how freelancers are engaged and planned across agencies.
- Reduce last-minute scrambling by building predictable coverage models.
Tooling & Process Ownership
- Own resourcing workflows and tools (e.g., ClickUp, dashboards, planning systems).
- Improve task hygiene and planning inputs so resourcing data stays reliable.
- Work closely with PMs and delivery leads to align “planned work” vs “real work.”
- Continuously refine processes to reduce manual steps and human error.
What We’re Looking For
Must-haves:
- 4–7+ years experience in resource management, capacity planning, or operations roles.
- Strong background working in digital agencies, marketing agencies, or professional services environments.
- Deep experience managing resourcing across multiple teams and skill sets.
- Proven ability to build and maintain utilization and capacity dashboards that leadership trusts.
- Comfortable working with mixed teams (full-time, contractors, freelancers).
- Highly analytical mindset — you spot patterns and risks before others do.
- Strong communicator who can say “no” when capacity doesn’t support the ask.
Nice-to-haves:
- Experience with tools like ClickUp, Float, Resource Guru, Mavenlink, or similar.
- Exposure to scaling agencies or multi-agency networks.
- Experience supporting M&A or post-acquisition resourcing integration.
- Understanding of agency financials (billable utilization, margins, cost of delivery).
